The Odney Club (TOC)

The John Lewis Partnership (JLP)

 1. Membership benefits  

​

1.1 As a member of TOC you will automatically receive a range of benefits as part of your membership package including the following:

| A Member can have their dependant children plus four guests visit for free. Spouses are not included as any type of dependency. Spouses of members are classed as guests.

l  Members and two of their guests can stay and all pay member rate for hotel accommodation. Members must book accommodation for themselves as well as their guests.

l  Monthly Members Reward and members treatment prices in the Serenity Suite Odney

l  Free use of TOC leisure amenities: BBQs, rowing boats, swimming pool, tennis courts, hard courts,

l  Where applicable, priority booking and discounts for events and Sunday lunch in TOC Manor Restaurant

l  Access to Member-only events and seasonal activities 

l  Free parking at TOC car parks as available when TOC is open and sole purpose of the car being on the premises

l  Receipt of our members’ emails which include information on how to make  the most of your Membership, how TOC develop our membership and the latest news, and updates

1.2 We reserve the right to change the benefits that apply to TOC membership or the properties to which access can be granted at any time and without prior notice. Where possible, changes to benefits will be published via member emails. It is your responsibility as a member of TOC to keep up to date with all communications sent by TOC.

​

1.3 We may maintain, cancel or introduce different categories of membership from time to time. It is your responsibility to ensure that you have the most appropriate category of membership to suit your circumstances at time of renewal. TOC is not responsible if a more appropriate category of membership may have been available at any time.

​

1.4 From time to time members may be able to benefit from reciprocal entry arrangements with other JLP Hotels but these arrangements cannot be guaranteed. Please remember that local entry conditions will apply to those JLP Hotels and these may be different to TOC/these conditions. Members must comply with those local conditions in order to benefit from the arrangements.

 2. Visiting as a Member  

​

2.1 Members should remember to bring their membership card – or pick up their membership card upon the first visit – with them every time they visit. TOC reserves the right to refuse entry  to our properties without your membership card.

​

2.2 TOC has the right to request proof of membership, dependency of children, their age and their current address at any time.

​

2.3 TOC Associate Membership is valid from the date of acceptance by TOC until the date of expiry shown on the card, being not less than one year.

​

2.4 Membership cards must be collected upon your first visit once accepted by TOC. In the meantime, you may use your confirmation email as proof of Membership.

​

2.5 Lost Membership cards will be replaced once free of charge. We will charge a small administration fee for any subsequent replacement cards.

 

2.6  Entry to our properties is during our ordinary opening hours only. Opening hours may vary. Although we will endeavour to adhere to advertised opening hours we reserve the right to change opening hours or close properties at short notice for safety, private hire, or any other reason. Please check before visiting. Entry to our places is subject to any terms and conditions of entry applicable at each place eg. Serenity Odney, Hotel accommodation etc.We reserve the right to restrict entry or to demand that any member leave a property for reasons of health or safety or if we consider that it is in the best interests of TOC or our staff, volunteers or other visitors.

2.7 Membership may not entitle members to attend special events, tours or take part in other activities in our properties which require additional payment.

​

2.8 Members will be held accountable for the behaviour of their guests

​

2.9 Children under the age of 16 must be accompanied by an adult

​

2.10 Members must book accommodation for themselves when making a booking for their guests.

​

​

 3. TOC Associate Membership Applications  

​

3.1 TOC reserves the right to refuse any application for Membership. TOC also reserves the right not to fulfill or to cancel a Membership if you (or the Member, where you provide an entitlement for ‘Family & Friends Membership’ for another person) are found to be in breach of these conditions.

​

3.2 On receipt of your application we will debit your payment card (as applicable). However, our acceptance of your application remains subject to our approval of it by us. Once a decision has been reached we will either confirm that your application has been accepted, at which point these terms and conditions become applicable  or we will notify you that we cannot accept your application. If we cannot accept your application for whatever reason we will confirm that you have been issued a refund (if applicable).

3.3 If we are unable to obtain payment you and a Membership has already been issued to you for whatever reason,, we will request you make payment within a stipulated time frame otherwise your Membership and membership card and any associated benefits, including scheduled visits etc. will be cancelled

​

 4. Price Information  

​

4.1 All quoted membership fees are for a one-year membership subscription

​

4.2 We reserve the right to increase the price of your Membership subscription on an annual basis. You will be informed of any fee increase within your renewal email.

​

​

 5. Credit/Debit card payments  

​

5.1 The credit/debit card information you provide us for a Membership transaction is used solely for the purpose of processing that Membership transaction. If we are unable to process payment from the credit/debit card details you have provided we will contact you immediately to verify your card details.

​

5.2 We strongly advise you against sending us any credit/debit card information via email. It is contrary to the rules of the Payment Card Industry (PCI) for us to accept credit/debit card payments by email and we will decline to accept payment by this means.

​

5.3 If you are not using your own credit/debit card to pay for the Membership subscription, you must ask permission of the credit/debit card holder before entering payment details. When you subscribe to Membership of TOC either in person or verbally, you are confirming that you have obtained the express prior permission of the credit/debit card holder.

 6. Leaving TOC Membership  

​

6.1 A Friends and Family Associate membership to TOC is secured and dependent on you having been referred by a Partner.  Upon renewal of your membership if the Partner who referred you is no longer a Partner then you must be referred by a current Partner otherwise we will be unable to renew your membership. 

​

6.2 An Associate membership to TOC is for 1 year and is not refundable and non transferable. 

​

​

 7. Your rights to cancel  

​

7.1 Memberships are non-refundable.

​

7.2 If your Membership is cancelled for any reason you must return your Membership card to us and you will no longer be entitled to receive any Membership benefits.

​

7.3 Membership rights and benefits shall cease on death but no refund shall be made.

​

7.4 To inform TOC  that you wish to cancel your Membership or not renew your Membership you must notify us by contacting our Membership Services team by telephone: 01628 530011 , option 2 > option 1. Or by writing to us by email at odney.membership@johnlewis.co.uk.  Should you be invited to renew your membership and fail to do so within the stipulated period your membership shall be cancelled at which point it cannot be reinstated.

 8. Active Membership  

​

8.1   Membership cards are for the named cardholder(s) only. Membership may not be transferred to another person and Members are not permitted to allow another person to use their Membership card.

​

8.2  Single Membership’ allows only the named cardholder to enter our properties. A second membership can be purchased for the same household and both members can enter our properties either together or individually, along with their dependent children (under the age of 19). Each Membership category entitles a member to bring up to 4 guests, (in addition to any dependant children)

​

8.3 Membership can only be used by the named cardholder or card holders (subject always to the terms of the specific category of membership purchased) once.

​

8.4 The purchaser of any Family & Friends Membership warrants that he/she/they have the consent of the Partner to provide the member’s data to TOC to administer the Membership and Membership benefits.

​

8.5 A maximum of 2 Family & Friends Memberships can be purchased with Partners consent and employee details. 

​

 9. Data protection and use of personal data  

​

9.1 When you apply for Odney Club Membership (and throughout your Membership subscription) it will be necessary for us to obtain certain information from you (such as your name, address and date of birth). We will treat this as personal data for data protection law. TOC will collect, hold and process your data in accordance with our  JLP Privacy Policy.

​

 10. Liability  

​

10.1 Subject to clause 10.3, and to the extent possible by law, TOC excludes all liability to Members or any other third party for any loss of profit, or any special, incidental or consequential damages (however arising, including negligence) arising out of, or in connection with services, parking, benefits and/or products supplied by TOC or any company associated with TOC.

​

10.2 Subject to clause 10.3, the liability of TOC to you is limited to the amount of your Membership fee.

​

10.3 Nothing in these terms and conditions excludes liability for death or personal injury caused by TOC’s negligence or for fraud or fraudulent misrepresentation.

​

10.4 Subject to clause 10.3, and to the extent possible by law, TOC excludes all liability to Members or any other third party for any loss of profit, or any special, incidental or consequential damages (however arising, including negligence) arising out of, or in connection with services, benefits and/or products supplied by TOC or any company associated with TOC.

​

10.5 Please keep all possessions safe, The Odney Club will not be held responsible for any items that are lost or missing.

​

​

 11. Queries, comments and complaints  

​

TOC will aim to respond to any query received within three-five working days. This may be an acknowledgement of receipt whilst further investigations are carried out. If you have any queries or complaints please contact the Membership team:

 12. General  

​

12.1 Anything said by any person or member of our staff on our behalf should not be understood as a variation of these terms and conditions nor as a representation about the nature and quality of the services being offered by us.

​

​

 13. Family and Friends Membership  

​

13.1 Each Partner admits up to 2 people to purchase a Family & Friends Membership using the Members Partner Number or Membership Number.

​

13.2 All Memberships will be terminated in accordance with Clause 6.1

​

13.3A charge may be made for some special and additional attractions which are not an integral part of the TOC place itself.
